Erasmus+ Staff Mobility for Training Purposes (STT)
Stay abroad for non-academic staff
Erasmus+ offers employees of FH Aachen the opportunity to undertake further education and training at a partner university, in a company or at another relevant workplace in another European country for a short period of time.
In this way, employees can acquire specialist knowledge in another country and gain international experience that is relevant to their daily work at FH Aachen.
International contacts are established and the foundation for a potential future cooperation between FH Aachen and the target institution can be laid.
Requirements
- The staff mobility must take place in a country that is not the country of the sending HEI and not its own main country of residence.
- The training period can take place at a higher education institution abroad, in a company or at another relevant workplace abroad.
- If the training period takes place at a higher education institution, it must hold a valid ECHE (Erasmus Charter for Higher Education).
- Training stays last between 2 days and 2 months (in each case excluding travel time). In partner countries (at FH Aachen currently Great Britain & Switzerland), the minimum stay is 5 days.
- The following training formats can be funded:
> job shadowing
> job shadowing
> Study visits
> Participation in workshops and seminars
> Participation in language courses
- Participation in conferences is not eligible.
- University staff can participate in official programmes, e.g. Staff Weeks or organise eligible formats on their own.
Application
To ensure that all formalities can be completed on time, you should ideally contact the Department of International Affairs at least 2 months before the start of your stay abroad.
If you would like to claim real costs, you should contact us 4 months before departure.
The following documents must be submitted in order to apply for Erasmus+ funding:
- Mobility Agreement Staff Training
- Declaration on insurance for university staff
- Declaration of Mobility Grant
- Declaration of Honour Green Travel in original (optional)
- Business trip application with approval (application via the service portal of the FH Aachen)
- A1-Certificate (Application via the Service-Portal of the FH Aachen)
- Grant Agreement in original (You will receive the Grant Agreement from us after submitting the required documents before departure).
- Certificate of attendance
- EU-Survey (link to the survey will be sent by mail) (This is not possible at the moment because the tool of the European Commission is not working properly)
- Original travel tickets (at Green Travel)
Headroom
Within the framework of the Erasmus+ funding for university staff, you will receive lump sums for subsistence and travel costs. The amount is determined by the European Commission or the NA DAAD.
Please note that parallel funding of similar costs by other EU programmes is excluded.
The mobility grants are not calculated according to the Federal or State Travel Costs Act. You will receive the specified unit costs, which you must accept in full.
If the Erasmus+ lump sum exceeds the costs you incurred in connection with your Erasmus+ stay abroad, you may have to pay tax on the difference on your own. If your costs are not fully covered, you can independently seek reimbursement from the FH Aachen, e.g. from your faculty.
The amount of the subsistence costs is based on the different costs of living in the destination countries. There are 3 country groups:
- Group 1 "High cost of living": 180 euros per day.
Denmark, Finland, Ireland, Iceland, Liechtenstein, Luxembourg, Norway, Sweden
Partner countries of region 1-14
- Group 2 "Medium cost of living": 160 euros per day
Austria, Belgium, Cyprus, France, Greece, Italy, Malta, Netherlands, Portugal, Spain
- Group 3 "Low cost of living": 140 euros per day
Bulgaria, Croatia, Czech Republic, Estonia, Hungary, Latvia, Lithuania, Northern Macedonia, Poland, Romania, Serbia, Slovakia, Slovenia, Turkey.
Subsistence costs are calculated per day. The first and last funding day is the day on which you are physically present at the target institution. Travel days are not counted towards the days of stay.
Please note that at FH Aachen a maximum of 10 days of stay are currently financially supported. Further days of stay count as Zero-Grant-Days.
In addition to the accommodation costs, you will receive travel costs according to the distance band.
Here, the distance between Aachen and the destination is calculated using the EU Distance Calculator. The one-way distance applies.
The allowances are staggered as follows:
0 km to 99 km: | 23 euros |
100 km to 499 km: | 180 euros |
500 km to 1,999 km: | 275 Euro |
2,000 km to 2,999 km: | 360 Euro |
3,000 km to 3,999 km: | 530 Euro |
4,000 km to 7,999 km: | 820 Euro |
8,000 km and more: | 1.500 Euro |
Special grants
In addition to the regular Erasmus+ funding, special funding can be applied for if you belong to the group of "participants with fewer opportunities" or if you travel green.
University staff belong to the group of "participants with fewer opportunities" if there is a degree of disability of 20 or more or a chronic illness or if child/children are travelling abroad with them.
Therefore, if additional costs arise in connection with the Erasmus+ stay abroad, these can be claimed via a real cost claim.
A maximum of 15,000 euros can be reimbursed per staff mobility, which must be approved in advance by the DAAD NA.
University staff who choose to undertake the majority of their Erasmus+ international mobility by sustainable means of transport (including train, bus, carpool, bicycle, walking, horse riding) will receive a separate financial contribution.
For green travel, university staff receive the increased travel allow ance according to the distance band instead of the regular travel allowance:
0 km to 99 km: 23 euros
100 km to 499 km: 210 Euro
500 km to 1,999 km: 320 Euro
2,000 km to 2,999 km: 410 Euro
3.000 km to 3.999 km: 610 Euro
4,000 km to 7,999 km: 820 Euro
8.000 km and more: 1,500 Euro
Inaddition, between 1 and 4 travel days are awarded for green travel. At FH Aachen, these are awarded according to the distance range:
